Job Title: Site Commercial Executive / Site Commercial Officer

Job Summary
The Site Commercial Executive is responsible for managing all site-level commercial, administrative, HR coordination, and compliance-related activities. The role involves procurement coordination, purchase requisition management, site cash handling, attendance management, statutory compliance support, record maintenance, vendor coordination, and ensuring accurate commercial documentation to support smooth project execution.
Key Responsibilities
Coordinate with Procurement and Supply Chain teams for timely material availability.
Track purchase orders, deliveries, and pending requisitions.
Maintain procurement records and documentation.
Verify received materials against purchase orders and delivery challans.
Process site cash advances and settlements.
Prepare cash utilization reports and submit them to management regularly.
Ensure compliance with company financial policies and approval procedures.
Coordinate with finance teams for reimbursement and fund requirements.
Verify contractor manpower deployment and attendance.
Coordinate payroll inputs with HR and Finance departments.
Maintain leave records, overtime records, and manpower reports.
Generate monthly attendance and manpower utilization reports.
Coordinate induction programs for new employees and contractors.
Monitor manpower mobilization and demobilization activities.
Maintain employee accommodation, transportation, and welfare records where applicable.
Support employee engagement and disciplinary documentation activities.
Maintain Records Related To
Contract Labour Act
Minimum Wages Act
EPF & ESIC compliances
Labour License requirements
Shop & Establishment regulations (where applicable)
Workmen insurance documentation
Coordinate with contractors to ensure statutory compliance documentation is current.
Support internal and external compliance audits.
Manage Site Documentation Including
Purchase Requisitions
Goods Receipt Documents
Vendor Records
Attendance Reports
Asset Registers
Petty Cash Records
Compliance Documents
Ensure proper filing and document control as per company procedures.
Verify contractor bills and supporting documents before submission.
Monitor contractor compliance with contractual and statutory requirements.
Assist in reconciliation of contractor manpower and billing records.
Generate procurement status reports.
Prepare manpower and attendance reports.
Maintain site cost tracking data.
Support management reviews with accurate commercial information and dashboards.

Required Qualifications
- Bachelor's Degree in Commerce, Business Administration, Management, or equivalent.
- Additional certifications in Commercial Management, Labor Law Compliance, or HR Administration will be an added advantage.
- Minimum 8 years of experience in Site Commercial, Site Administration, Project Commercial, or Project Support functions.
- Experience in EPC, Construction, Industrial, Infrastructure, Manufacturing, or Project-based organizations preferred.
- Exposure to handling multi-disciplinary project sites will be advantageous.
- Strong knowledge of Purchase Requisition and Procurement processes.
- Experience in Site Petty Cash Management
- Knowledge of Labour Laws and Statutory Compliance requirements.
- Attendance and Payroll Coordination.
- Vendor and Contractor Management.
- Commercial Documentation and Record Control.
- Strong MS Excel, Word, and PowerPoint skills.
- Knowledge of SAP, ERP, Oracle, or similar systems preferred.
