Location: MDPH Head Office, Dewas Naka, Indore
Working Hours: 9:30 AM to 6:30 PM
Experience: 2–3 years of relevant experience
Qualification: Graduate in any discipline; Masters will be an added advantage
About the Role
We are looking for a well-organized, proactive, and highly dependable Executive Assistant to support the Director in managing day-to-day activities, schedules, communication, travel, information, and coordination with internal and external stakeholders.
The ideal candidate should have prior experience supporting a senior-level executive, possess excellent communication and organizational skills, be comfortable handling confidential information, and be capable of working independently in a fast-paced environment.
Key Responsibilities
- Manage and maintain the Director's daily calendar, appointments, meetings, and schedules, ensuring effective utilization of time.
- Coordinate and schedule meetings with internal teams, customers, business associates, and other stakeholders.
- Plan and manage the Director's business travel, including flight/train bookings, hotel/accommodation, local transportation, itineraries, and other travel-related arrangements.
- Act as a key point of contact between the Director and various departments, customers, vendors, and external stakeholders.
- Manage emails, correspondence, letters, documents, and other communication on behalf of the Director as required.
- Maintain and organize the Director's data, records, documents, reports, and confidential information, ensuring accuracy, timely updates, and proper documentation.
- Follow up with concerned teams and individuals on tasks assigned by the Director and ensure timely closure of action points.
- Assist the Director in managing and tracking projects, assignments, and important business activities.
- Prepare meeting agendas, presentations, MIS reports, summaries, and other business documents as required.
- Conduct quick and effective information gathering and research on different business-related subjects whenever required by the Director.
- Make effective use of AI tools and digital resources to research, organize, summarize, analyze, and present information efficiently.
- Maintain a high level of confidentiality and discretion while handling sensitive business and personal information.
- Support the Director in various administrative and coordination activities to ensure smooth day-to-day functioning.
Education & Experience
- Graduate in any discipline; Masters will be preferred.
- 2–3 years of relevant experience as an Executive Assistant, Personal Assistant, Management Assistant, or in a similar role.
- Prior experience assisting a senior-level executive, Director, Business Head, or equivalent will be strongly preferred.
Required Skills & Competencies
- Immediate joiners will be prefered.
- Excellent written and verbal communication skills.
- Strong command of MS Office, particularly MS Excel, Word, and PowerPoint.
- Good working knowledge of Google Workspace, including Google Sheets, Gmail, and Google Calendar.
- Strong calendar, scheduling, and travel management skills.
- Ability to manage multiple priorities and work with a strong sense of urgency.
- Excellent organizational, follow-up, coordination, and time-management skills.
- Strong attention to detail with the ability to work accurately and efficiently.
- Comfortable using AI tools and modern digital platforms for information gathering, research, documentation, and productivity.
- Ability to quickly understand requirements, find relevant information, and present it in a clear and useful manner.
- High level of professionalism, maturity, discretion, and confidentiality.
- Should be proactive, dependable, well-presented, and capable of working independently.
Candidate Profile
We are looking for a candidate who is confident, articulate, organized, and comfortable interacting with senior management and different stakeholders.
The candidate should be someone who can anticipate requirements, manage things proactively, work quickly without compromising accuracy, and take ownership of responsibilities entrusted by the Director.
