MARKETING PROJECT MANAGER
CRS is looking for an organized, hands-on Marketing Project Manager to serve as the operational backbone of our marketing and events program. This person keeps the marketing workflow moving, owns our project management platform, and runs the logistics behind a trade show calendar. It is a role for someone who enjoys building systems, tracking many moving parts at once, and making sure the right materials, people, and information show up in the right place at the right time.
You will work closely with the Fractional CMO to translate marketing strategy into clear, well-run projects, and you will be the go-to coordinator for the sales team, vendors, and event partners on anything related to marketing requests and trade show execution.

- Manage the day-to-day marketing workflow from intake through delivery, keeping projects on scope, on schedule, and clearly communicated.
- Serve as the primary point of contact for inbound marketing requests from sales, leadership, and other departments; clarify needs, set expectations, and route work appropriately.
- Coordinate outbound work and communication requests with external partners, including agencies, freelancers, printers, and media contacts.
- Lead the weekly team meeting, maintain project timelines, status updates, and recurring reporting so stakeholders always know where things stand.
- Identify bottlenecks and recommend process improvements that help the team work more efficiently.
- Lead the setup, build-out, and ongoing administration of monday.com as the marketing team’s system of record.
- Design boards, workflows, automations, request forms, and dashboards that support marketing, events, and cross-functional collaboration.
- Onboard and train team members, document standards, and act as the internal resource for questions and best practices.
- Continuously refine the platform as the team’s needs evolve.
- Plan and execute trade shows and industry events from initial registration through post-show follow-up.
- Build and maintain the annual event calendar, including deadlines for registration, exhibitor services, shipping, and marketing deliverables.
- Manage show logistics such as booth space selection, exhibitor services orders, electrical and internet, lead retrieval, and drayage.
- Coordinate travel arrangements for event staff, including flights, hotels, ground transportation, and itineraries.
- Schedule and confirm event staffing, communicate expectations and show details to attendees, and ensure coverage for each event.
- Track event budgets and expenses, and support post-event reporting on leads, costs, and outcomes.
- Own the inventory of booth properties, displays, signage, product samples, giveaways, and printed collateral stored in the warehouse.
- Maintain accurate inventory records, monitor condition and quantities, and plan reorders or repairs ahead of need.
- Coordinate the packing, shipping, and return of booth materials for each show, working with carriers and show services to meet deadlines.
- Manage relationships with display vendors and fabricators for new builds, refreshes, and refurbishment.
- Negotiate contracts with industry associations, including exhibitor agreements, sponsorship packages, membership benefits, and multi-show or multi-year commitments that improve pricing and placement.
- Negotiate rates, terms, and deliverables with vendors and service providers such as display fabricators, printers, shipping carriers, show services, and hotels.
- Negotiate advertising and sponsored content agreements with trade publications and media partners, including rates, added-value placements, and editorial opportunities.
- Review terms, track key dates and cancellation windows, and route agreements for approval and signature.
- Maintain an organized record of all contracts, insurance certificates, and related documentation, and track spend against negotiated terms.
- 3 or more years of experience in project management, marketing operations, event management, or a similar coordination-heavy role.
- Hands-on experience administering monday.com or a comparable work management platform (Asana, Wrike, ClickUp, Smartsheet), with a track record of building workflows others rely on.
- Experience planning and executing trade shows or events, ideally at a high volume.
- Strong organizational skills and comfort managing many concurrent deadlines and details.
- Clear, proactive communicator who can work well with sales teams, leadership, vendors, and outside partners.
- Comfortable with logistics, shipping, and inventory processes; willing to spend time in the warehouse and occasionally lift and move materials.
- Demonstrated experience negotiating contracts and pricing with associations, vendors, or media partners, with a practical eye for value and risk.
- Ability to travel to select events as needed.
- Experience in the recreation, parks, aquatics, or commercial facilities industries.
- Familiarity with marketing tools such as HubSpot or a similar CRM, Canva, or Adobe Creative Cloud.
- Experience managing marketing or event budgets.
- Existing relationships with recreation industry associations or trade publications.
- PMP, CAPM, CMP, or similar certification.
- monday.com is fully adopted as the marketing team’s single source of truth within the first several months.
- Every trade show has a clear plan, staffed and equipped on time, with no last-minute scrambles.
- Marketing requests are acknowledged quickly, prioritized transparently, and delivered as promised.
- Booth materials and warehouse inventory are accurately tracked and ready when needed.
- Contracts and key deadlines are never missed.
- This position will require occasional overnight or weekend travel to vendors, customers, tradeshows, and jobs sites.
- Exempt Classification:
- This position is classified as Exempt under the Fair Labor Standards Act and not subject to the requirements for payment for any hours worked in excess of 40 in a week (overtime). This position is expected to occasionally require hours in excess of 40 hours per week during seasonal needs, for business related travel or if related to a special project.
