About the role
The Contracts Administrator is a key member of the Contracting & Procurement (C&P) team as a focal point delivering contract lifecycle management services and provide guidance to the business. You will support and deliver administrative category, commercial and contract activities including end to end low value, low risk contracts (Tier 3) contracting and assisting with specified process steps in higher value / risk contracts (Tier 1 and 2) e.g. contract communications, systems maintenance, extensions and renewals, cost models, market intelligence, supplier performance, Automation, AI improvements and reporting.
Duties & Responsibilities:
- Ensures conformance with our Company’s Purpose, Mission and Vision, Our Values, Leadership Expectations, Governance Documents, Code of Conduct and relevant statutory obligations.
- Acts respectfully and fairly with all team members, embracing differences so that everyone feels cared for and included.
- Ensures contracts, purchase orders and call-offs comply with the Contracting and Procurement governance requirements.
- Contract Lifecycle Management System (Icertis) end to end proficiency, including adding suppliers, insurance certificates, Bank and Parent Company Guarantees, Letters of Credit, tender documentation, fully executed contract document(s), amendments/ variations, correspondence and close-out/ archiving.
- Deliver in country contracts for goods and services with desired Local Content outcomes in accordance with Woodside Management System (WMS), process and governance requirements (particularly Pre and Post Award Work Instructions and Standard Operating Procedures).
- Assesses performance of Contracts as directed, using key documentation (e.g. contract management plan, schedule, risk, cost and KPIs) and monitor performance against key metrics, to support the identification of potential deviations.
- Managing Contract expiry dates; makes recommendations to and coordinates with the Contract Adviser for necessary actions.
- Managing Contract Ceilings; makes recommendations to and coordinates with the Contract Adviser for necessary actions for continuity of supply.
- SAP – Create and maintain Contracts/Outline Agreements in accordance with instruction from Contracts Advisers.
- Support market indices, price models, total cost of ownership data, supplier performance reporting.
- Provides historical spend, vendor and market data to support cost analysis and cost basis reporting to aid in the development of contracting and category strategies.
- Uses supplier financial data, performance metrics and other available commercial information to make basic commercial recommendations for supply contracts or purchase orders.
- Sources information, plans and conducts analysis to support basic evidence-based decision making.
- Comply with and recommend continuous improvements to processes and procedures including but not limited to AI and automation reporting.
- Comply with Risk Management protocols.
- Role model and meet all Health, Safety, Environment and Quality (HSEQ) expectations and requirements as defined WMS
- Deliver contractual support if required during crisis and emergency response
Skills & Experience:
- Tertiary qualification in Logistics, Supply Chain, Procurement, Commerce, or a related discipline preferred.
- Business Degree or Diploma desirable, but not essential.
- 5-10 years of experience in Contracting & Procurement roles.
- Strong business acumen with demonstrated expertise in commercial and contracting processes.
- Proven ability to build and maintain effective relationships with internal and external stakeholders.
- Well-developed stakeholder engagement skills.
- Excellent written, verbal, and presentation communication skills, with the ability to influence and collaborate across all levels of an organisation.
- Ability to work in a dynamic environment, balancing multiple priorities while delivering high-quality outcomes.
