Summary
The Business Technology Administrator provides high-level administrative and operational support to senior leaders, enabling them to effectively manage priorities, stakeholder relationships and business objectives. Reporting to Executive Leadership / Managing Director / Technology Leader, the role requires excellent organizational skills, sound judgment, confidentiality, and the ability to work across multiple time zones and functions.

Responsibilities
Executive Support
- *Manage complex executive calendars, appointments and meeting schedules.
- *Coordinate domestic and international travel arrangements, including visas, itineraries, accommodation and transportation.
- *Prioritize requests and resolve scheduling conflicts proactively.
- *Act as a primary point of contact between executives and internal/external stakeholders.
- *Organize leadership meetings, business reviews and governance forums.
- *Prepare agendas, presentations, briefing materials and management reports.
- *Record meeting minutes, track action items and ensure timely follow-up.
- *Draft and manage professional communications, correspondence and announcements.
- *Process travel and expense claims in accordance with company policies.
- *Support invoice processing, purchase requests and vendor coordination.
- *Analyse data and create reports
- *Maintain accurate administrative records and documentation.
- *Liaise with business leaders, clients, vendors and cross-functional teams.
- *Coordinate activities across multiple geographies and time zones.
- *Support leadership events, workshops and team engagements.
- *Maintain confidential business information and executive records.
- *Manage document repositories, filing systems and SharePoint sites.
- *Support special projects and strategic initiatives as assigned.
- *Use Microsoft Copilot and other GenAI tools to draft emails, correspondence and professional communications.
- *Capture meeting notes, transcriptions, action items and minutes using Copilot in Microsoft Teams.
- *Summarize documents, email threads and reports with GenAI to accelerate follow-up and decision-making.
- *Generate and refine presentations, briefing materials and management reports with AI assistance.
- *Automate routine administrative, scheduling and data-entry tasks using Copilot and other productivity AI tools.
- *Apply AI tools responsibly and securely, in line with company data protection and confidentiality policies.
Minimum Qualifications
- *9-15 years of experience supporting senior executives or leadership teams.
- *Experience working with global stakeholders and virtual teams.
- *Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Teams) and familiarity with Microsoft Copilot / GenAI productivity tools.
- *Meeting coordination and minute-taking expertise, and travel and expense management experience.
- *Experience in multinational or professional services organizations.
- *Hands-on experience using Microsoft Copilot or other GenAI tools to improve productivity in a professional setting.
- *Organizational: exceptional organizational and time management skills; ability to prioritize multiple tasks in a fast-paced environment; proactive, detail-oriented and solution-focused mindset.
- *Communication & stakeholders: strong written and verbal communication abilities; strong stakeholder management and relationship-building skills.
- *Professionalism: high level of professionalism, discretion and confidentiality.
- *Digital & AI fluency: proficiency with Microsoft Copilot and GenAI tools for note-taking, content creation and task automation; adoption of new digital tools to work smarter.
- *Efficient management of executive schedules and priorities.
- *Timely completion of travel, expense and administrative activities.
- *High-quality meeting documentation and follow-up.
- *Strong stakeholder satisfaction and responsiveness.
- *Effective handling of confidential information and executive support needs.
