Key Responsibilities

Tender & Proposal Preparation

  • Review customer RFQs, tender documents, technical specifications, and commercial requirements.
  • Prepare techno-commercial offers for ETO products and systems.
  • Develop customized solutions based on customer requirements and project specifications.
  • Ensure proposals comply with customer standards, industry regulations, and company policies.

Technical Evaluation

  • Study process requirements, datasheets, P&IDs, GA drawings, and technical specifications.
  • Coordinate with Design, Engineering, Procurement, Production, and Quality teams for technical inputs.
  • Identify technical deviations and prepare deviation sheets where applicable.
  • Conduct risk assessment for technical and commercial feasibility.

Cost Estimation & Pricing

  • Prepare detailed cost calculations including materials, labor, engineering, manufacturing, logistics, installation, and contingencies.
  • Obtain vendor quotations and evaluate subcontractor costs.
  • Develop pricing strategies to achieve target margins while remaining competitive.
  • Maintain costing databases and estimation tools.

Bid Management

  • Manage complete tender lifecycle from RFQ receipt to bid submission.
  • Track tender milestones and ensure timely submission.
  • Prepare bid documents, compliance matrices, and supporting technical documentation.
  • Participate in bid review meetings and management approvals.

Customer & Sales Support

  • Clarify technical and commercial queries with customers.
  • Support sales team during negotiations and technical discussions.
  • Attend customer meetings, pre-bid meetings, and clarification sessions as required.
  • Provide post-bid support and revision of offers based on customer feedback.

Documentation & Process Improvement

  • Maintain records of tenders, estimates, wins/losses, and customer communications.
  • Analyze tender outcomes and identify areas for proposal improvement.
  • Support standardization and development of proposal templates.

Key Performance Indicators (KPIs)

  • Tender submission accuracy.
  • Proposal turnaround time.
  • Win ratio of submitted tenders.
  • Gross margin achievement.
  • Compliance with customer specifications.
  • Reduction in bid preparation cycle time.
  • Customer satisfaction and responsiveness.

Qualifications

Education

  • Bachelor's Degree in Mechanical, Electrical, Instrumentation, Industrial, Mechatronics, or related Engineering discipline.

Experience

  • 3-8 years of experience in tendering, proposal engineering, estimation, or application engineering.
  • Experience in ETO manufacturing, process equipment, industrial systems, automation, HVAC, water treatment, or similar industries preferred.

Technical Skills

  • Tendering and proposal preparation.
  • Cost estimation and pricing.
  • Reading engineering drawings and specifications.
  • BOM preparation and costing.
  • Vendor management and quotation analysis.
  • Technical documentation and compliance preparation.
  • Knowledge of ERP systems (SAP, Oracle, Dynamics, etc.).
  • MS Excel, Word, PowerPoint proficiency.

Soft Skills

  • Strong analytical and problem-solving skills.
  • Commercial awareness and business acumen.
  • Excellent communication and presentation skills.
  • Ability to work under tight deadlines.
  • Attention to detail and accuracy.
  • Team collaboration and stakeholder management.

Preferred Competencies

  • Knowledge of project execution processes.
  • Understanding of contract terms and commercial conditions.
  • Exposure to international tendering and export projects.
  • Familiarity with Lean, Value Engineering, and Cost Optimization techniques.
